By the time the meeting began, the team had already reviewed three proposals. We had rejected the first because its schedule was unrealistic. The second offered more flexibility, but the supplier had not confirmed the final cost. We therefore spent most of the meeting discussing the third option. A colleague who had missed the earlier discussion asked us to explain our reasoning. Once we had summarised the background, everyone could contribute more effectively.
