If the organiser had not reserved an extra room, the afternoon workshop would have been cancelled. A problem with the main hall made it unusable at short notice. We would have struggled to find another venue if the whole group had already arrived. Fortunately, a volunteer noticed the problem before the first session ended. If she had waited until the break, we might not have had enough time to move. Early communication made the change much easier for everyone.
